Audits (Historical Events) for Additional Fields, type TEXT

Hi,

HP TRIM 7.3.4.5739 , WIn 7, MS Office 2010 SQL 2008-R2,

M Net 4.5


Is there a way to log the changes (Active Audit Events)

for an Additional Field , type TEXT ...


Yes, for the record type where this Additional Type is

used, the Audits are tagged/ticked for event type

"Additional filed changed" and many others event types

as well...


The final product what we want to see is similar to a

normal Title field historical events: On such date, user

Joe Bloke changed the title from "Project 123" to

"Project 4567" ....

As it is now, in HP TRIM 7.3.4 and also in RM8.1 , this

is not happening ... These logs are highly required as

the changes to that Additional field type TEXT are

recorded only as " record modified by user 123 "  or in

some cases in HP TRIM 7.3.4. "Additional field changed"

.. Is there any other way to find what was the title

before user changed it?


Any ideas?

Have you looked in the Audit logs stored on the WGS?

 

DO they ahve any more detail about the change?

For type text, no. That field type can hold up to ~64k of data. Pushing that into the online audit log could seriously bloat the database and decrease performance.

Hm, that could be the issue ....

As we are required to keep all metadata changes.. and this additional field is metadata in a way ....

In our case : we had Project description text field where the task/question is written

Next field is NOTES field where the answer/solution should be provided and that one is OK, changes are registered ....

 

Sometimes, users are changing the Task/Question ...and nobody knows what was there before...

 

Any other way how to overcome this or log this change?

It'll be written to the server-side audit logs if you have that enabled with the server.

Physical Server as Server, not WGS Services logs?

The event server processes audit logs. They'll be in the local server data directory. For example it would be in "C:\HPTRIM\ServerData\TRIM\TP\AuditLogs".

As a side note, the active audit event entries for custom properties (additional fields) is broken in 8.1. You can't see them even if it's not a field of type text.

What you saying looks like true, I just tested: in RM8.1

 

I changed 9 additional fields (type TEXT, String, boolen) on one document ( very particular Record type with lots of drop menu items/choices ) and none of these changes are registered anywhere (except for the main, built in field "Title" )

 

So my documnet (which is metadata only by the way) with 12 fields now looks totally different and there is no trace of who did the changes and what value was there before .... or how we can recover that information

 

Not sure if this is OK with those Company's sections that use this Record Type heavily.... It is related with Customer Services and hundreds of these are made daily and would be affected if metadata changes are not recorded anywhere...

 

Correction: Only Audit trail is : User A12345 Record Modified ,  and all other 8 fields changes are not recorded at all

 

Any other tips, solutions, workarounds?

It's a bug in 8.1. Lodge it with HP to get it addressed in a future build.
