Using private cloud storage for file sync, sharing and collaboration

Collaboration in the idea economy

Workers in today’s enterprises absolutely depend on collaboration and file synchronization tools to get their jobs done efficiently across the geographically and organizationally dispersed teams that they are increasingly apart of. File sharing and collaboration are by far the most requested cloud applications by end-users, noted by 80% of their respective IT departments. Being able to simultaneously share and work on the same documents with other team members has significantly increased the agility of the overall enterprise. Users also need to have a seamless, common, access to all of their data files regardless of which device they are using—smartphone, tablets, laptop, and fixed PC’s.

The new engine for collaboration

Just a few years ago, enterprise IT would support collaboration and file synchronization using traditional IT assets. Large farms of servers, along with racks upon racks of physical hard drives dominated the data center floor. If employees needed to access their data from locations that were geographically far away, they would experience slow performance due to network latency and poor network bandwidth. IT would also need to make sure that these data farms were backed up to another data center that was remote enough to ensure data recovery in a worst case disaster scenario. Storage would have to be manually requested by a user, then sized and deployed by IT. If a user’s storage requirements shrunk, the physical storage assets would not, leaving massive amounts of physical storage idle and underutilized.

Cloud storage solutions changed all of that. As public cloud storage became readily available, enterprise users started to immediately making unauthorized use of it. Company confidential information, and data that might require tight regulatory controls to be compliant, was now sitting on public cloud infrastructures. Some of these public storage solutions were not even encrypting the data at rest, making the enterprise open to all sorts of risks. When an employee left the enterprise, that company data was still available to the ex-employee and not the enterprise.

A great option for your storage imperative

Private cloud storage provides a great option for enterprises today to handle employee collaboration and company data file synchronization and access.  With the tools and products now available, enterprises can set up cloud storage solutions for collaborating on company and customer projects, as well as giving employees a safe place to keep company sensitive data that they can still access from anywhere—and from any device they need to access it from. Private cloud storage automatically grows and shrinks based on the user’s needs, ensuring that users get the storage capacity they require, while the enterprise is able to optimize the utilization of the physical underlying assets, which achieves the best per byte cost overall. A private cloud storage solution also lets the enterprise tailor services to meet special collaboration and file syncing requirements unique to business unit. For example, for problems like 3D CAD collaboration and file sharing that a product engineering team might need can be easily accommodated. Putting any product design data of a sensitive competitive nature—or any intellectual property for that matter—onto a public cloud storage service would be an unthinkable risk.

Turbo charging the new private cloud storage engine

Setting up a private cloud storage collaboration and file syncing service is easy and affordable. Open source products like OpenStack Swift, OpenStack Cinder, and OpenStack software with Ceph offer the foundation of a highly scalable, agile and secure private cloud storage solution. All-flash SSD HPE 3PAR StoreServ storage with File Persona and Citrix ShareFile Enterprise allows companies to upload and share large business files quickly, securely and easily, enabling enterprise collaboration to be integrated within most business workflows. With support for popular mobile devices, users can leverage the devices they are most comfortable with, while ensuring the privacy of the enterprise’s confidential information with AES 256-bit file encryption and granular access permissions.

Powering today’s collaboration clouds

HPE has a wide range of partners and solutions to create state-of-art private cloud storage solutions for both collaboration and file synchronization that can rival what generic public cloud storage solutions can offer from a service perspective. But what really sets a private cloud collaboration and file sync solution apart from public cloud alternatives is the ability to control and protect the lifeblood of the competitive enterprise today—its data.
